          About the role:
The Operations Data Assistant supports the daily operations of the department, assisting with database administration, tracking operational data, compiling reports, and ensuring effective communication across various operations departments. This role involves a wide range of administrative activities within the Operations Department to ensure efficient, smooth, and accurate data collection and recording. He/she would also provide accurate daily tracking of all operations activities, updating a variety of tracking systems.

KEY TASKS & RESPONSIBLITIES:
  • Database Administration: Assist with the administration and maintenance of databases for all operations activities, ensuring the integrity, accuracy, and accessibility of Operations data.
  • Data Entry and Record keeping: Verify, upload, and ensure the accuracy of all operations-related reports in the database, guaranteeing timely and correct data entries.
  • Operations Dashboard: Regularly update and maintain the Operations Dashboard to provide real-time insights into key performance indicators (KPIs) and Operations metrics.
  • Work Order Management: Prepare and process work orders as needed, allocating sites and resources in alignment with Operations needs and priorities.
  • Report Distribution: Compile and allocate operational reports to relevant departments, assisting in proper data analysis and informed decision-making.
  • Meeting Documentation: Accurately take meeting minutes for department meetings, organizing and maintaining meeting records for future reference and follow-up actions.
  • System & Process Documentation: Assist in the creation, documentation, and enhancement of systems, processes, and best practices that improve the efficiency and effectiveness of the Operations Department.
  • Data Tracking: Monitor and track key operations data, including Drilling, Construction, Maintenance, and other critical Operations metrics, ensuring accurate and up-to-date information is available.
  • Data Analysis & Process Improvement: Support the analysis of gathered data, helping identify trends, inefficiencies, and opportunities for process improvements that align with Operations goals.
  • Cross-Department Communication: Foster effective communication between departments to ensure the timely and accurate submission of Operations data and reports.
  • Collaboration: Work closely with team members across different departments to ensure the successful completion of data collection and reports, meeting deadlines and Operations goals.
  • Operational Support: Collaborate with all Operations teams to support the division’s strategic goals.
  • Additional Duties: Perform other tasks and responsibilities as assigned by the line manager, supporting the overall success of Operations.
        REQUIREMENTS FOR THIS POSITION:
Educational & Professional level required:
  • Bachelor’s degree in data management, Business Administration or similar field
  • Previous experience in operations, data administration, or a related field is preferred.
Role-Specific Knowledge & Experience:
  • Computer skills and knowledge of relevant software (Word, Excel, Sharepoint, Outlook, Powerpoint,…)
  • Data entry and record keeping experience
  • Ability to compile reports, track data, ensure proper data system updates
  • Fluent in English, French and Kirundi
